 Organisation of the Service


A Control Room manned by 5 people with different professional skills, according to the type of services to be provided, manages the logistical complexity posed by the structure's architecture and coordinates non-core administration services. The Control Room provides the customer with the technical, organisational and/or management instruments and expertise to improve the functioning of the buildings and systems and to optimise the services, therefore curbing operating costs, using an IT platform and a set of operating procedures and tools.

In entering into a single service contract, the Customer pursued the following goals:

  • An Integrated service capable of synthesizing in a single framework the multifaceted management requirements of the various services necessary for the buildings to function
  • Prompt and sensible maintenance capable not only of keeping the buildings at a minimum level of working order, but also of adapting and updating their status, therefore adopting a global approach to the management of the maintenance service
  • Minor ordinary maintenance work
  • Regulatory updates (design)
  • Functional update (extraordinary maintenance): design and execution
  • Update of the quantities and characteristics of the properties
  • Optimisation of quality control and service costs (design)

The service under the contract includes the following activities:

  • supplying fuel for the winter air-conditioning systems, ensuring the physical-chemical characteristics comply with relevant regulations, including minor ones, in force from time to time, in the amounts and according to the characteristics required by the system
  • operating and maintaining the winter air-conditioning system and equipment; this involves the following steps:
    • assuming the role of third-party responsible for operating and maintaining the systems
    • operating the systems
    • carrying out ordinary, preventive and corrective (emergency response), and extraordinary maintenance work on the systems
  • operating and maintaining the summer air-conditioning system and equipment; this involves the following steps:
    • operating the systems
    • carrying out ordinary, preventive and corrective (emergency response), and extraordinary maintenance work on the systems
  • operating and maintaining the power, sanitary water, fire prevention, and horizontal and/or vertical lift systems; this involves the following steps:
    • operating the systems
    • carrying out ordinary, preventive and corrective (emergency response), and extraordinary maintenance work on the systems
  • inspecting and monitoring the buildings and their appurtenances as well as carrying out minor maintenance and/or repair work
  • providing environmental cleaning and hygiene services, i.e. activities aimed at ensuring the hygienic-environmental comfort both within and without the individual buildings, contributing to promote the institution’s image, such as:
    • cleaning
    • disinfestation
    • waste collection and disposal
    • gardening
  • other services such as: internal and external transport, archiving, logistical support and transport during election time, organisational and logistical support for potential events, office layouts for the purpose of expanding and/or rationalising space
  • recording workstations and furnishings: the service includes a set of activities such as data collection, surveying, graphic rendering and updating/modifying data to generate an inventory of rooms, workstations, furnishings, and equipment in the buildings
